Allotment

A negotiated block of inventory — airline seats or hotel rooms — held for a period with release dates and penalties. Allotments are common in groups and contracted rates.

Allotments come in several flavours. Hotels typically agree a nightly room allotment per property and room type with a cut‑off (release) window; airlines hold blocks of seats for groups or tour series with name and ticketing deadlines. Unused units are released back at cut‑off to avoid penalties.

Operationally, the platform decrements the allotment on provisional hold, enforces name deadlines, and restores balance on cancellation. Group flows need passenger name collection, roommate assignment and payment schedules that align to release periods and supplier penalties.

Over‑commit is a common risk. If the platform allows selling beyond remaining balance or ignores stop‑sales, operations will scramble at ticketing or check‑in. Good tooling shows real‑time balance, release clocks and penalties before agents confirm.

Finance depends on clean references. Store contract IDs, series or block identifiers, release dates and penalties on the order so supplier statements and credit notes reconcile without manual matching.

In the Elkanio platform, Cluster manages group series, passenger collection and deadlines, while Nexus models hotel and airline allotments with release rules and stop‑sales. Vector posts deposits, penalties and supplier settlements against the right orders.

Common mistakes

What teams often get wrong

  • Does an allotment guarantee space until departure?

No. Allotments usually have a release window. Unsold rooms or seats are returned at cut‑off unless extended, and penalties may apply if deadlines are missed.

  • Can we freely exceed an allotment if the hotel still has rooms?

Not without agreement. Selling beyond the contracted block can trigger higher rates or penalties. Route excess demand to public or negotiated inventory explicitly.
